To solve this, our team deployed the DocPro Document Management System (DMS). Catering to a robust workforce of 700 total system users, we engineered an airtight, end-to-end physical document lifecycle—covering both the forward journey to the central vault and the reverse journey back to the customer.
The forward workflow is designed to move documents safely from local branch origination to central archival vaults, utilizing automated gates to enforce accuracy at every step. Misplaced files are eliminated by mandating a strict sequence of "Pending" and "Accepted" handshakes.
The journey begins at the branch level when the Credit Team assigns barcodes to physical files. To prevent erroneous records from entering the ecosystem, DocPro verifies critical metadata against the internal core database via LAN validation. This instantly flags mismatches between the physical inventory and digital records before the file is allowed to move.
Validated files are submitted to the OPS Inward Pending bucket. Operations (OPS) personnel physically receive the file, select the document status, and update it in the system to OPS Inward Accepted.
A critical compliance checkpoint. The Legal Team accesses the inwarded dockets to verify property titles, collateral documents, and regulatory completeness. Only after strict legal scrutiny and approval are the files released to the next stage.
The accepted file is assigned to specific users in the Document Management Unit (DMU) via the DMU Pending queue. Once the DMU team physically receives and verifies the file contents, its status is updated to DMU Accepted.
After final DMU acceptance, the document is officially submitted into the Critical Storage bucket, successfully completing its forward journey into the secure vendor vault.
A document's lifecycle doesn't end in the vault. When a loan is foreclosed, completed, or required for an audit, the physical files must be retrieved with the exact same level of security and tracking.
